Application Processing

1. Create an Application Timeline

• Note down deadlines for:
  • University applications
  • Standardized test scores
  • Visa application timelines
• Plan backward to ensure everything is ready on time

2.Gather Required Documents

Assist the student in compiling:

• Academic transcripts & certificates
• Passport copy (valid for at least 6 months)
• Test scores (IELTS, TOEFL, GRE, etc.)
• Resume/CV
• Statement of Purpose (SOP)
• Letters of Recommendation (LORs)
• Extra documents like portfolios (for design/architecture courses)

3. Create University Portals / Apply via Aggregators

• Register accounts on each university’s application portal OR
• Use platforms like UCAS (UK), Common App (USA), ApplyBoard, GUS, etc.

4. Fill Application Forms

• Double-check spelling of name, passport number, email
• Make sure the course and intake (Fall/Spring) are correctly selected
• Carefully answer application questions and declarations

5. Upload Documents

• Scan and upload all required documents in the required formats (PDF, JPEG)
• Ensure clarity, no blurred or cropped scans

6. Review and Submit Applications

• Carefully review the application with the student before submission
• Ensure all fields are filled and documents uploaded correctly
• Submit and save the confirmation email or receipt

7. Track Application Status

• Regularly log into the university portal to:
  • Check updates
  • Respond to requests for additional documents
• Inform the student of any pending steps

8. Handle Communication with Universities

• Answer queries from university admissions
• Help with scheduling interviews (if required)
• Ensure the student replies to university emails in a professional and timely manner

9. Follow Up on Decision

• Once the university makes a decision:
  • Help student understand offer letter terms
  • Move to the next step: Admission formalities
